Organization FAQ
Who are organization accounts for?
Coaches, club directors, trainers, and school programs that want to manage recruiting for a whole roster. If you're recruiting for yourself, an individual athlete account is the better fit. Organization accounts are separate from athlete accounts, so you'll need a different email address to create one.
How does pricing work?
Plans are sized to your roster, not charged per athlete. Basic starts at $19.99/mo and Pro at $39.99/mo, and you pick your exact roster size after creating your account. Every plan starts with a 14-day free trial, and you won't be charged if you cancel before it ends.
Do athletes or their families pay anything?
No. Your organization plan covers every athlete on your roster. On a Basic plan they get free Basic accounts, and on a Pro plan they also get Pro features like Gmail send, the coach contact database, and the AI tools.
How do I add athletes to my roster?
Invite them by email, either one at a time or up to 200 in a batch, and optionally tag each with a team label. Athletes who already have an account get an invite to accept or decline. Athletes without one get a link to set up their account (valid for 7 days). Athletes only count toward your roster and become visible to you once they accept.
What can I see about each athlete?
For athletes on your active roster you can see their dashboard, profile, target schools and recruiting activity, highlights, and offers or commitments. Athletes can also share recruiting preferences and goals with your organization, which helps when you suggest targets. You can only see athletes who have accepted your invite and are still on your roster.
Can I message my athletes?
Yes. Message one athlete, a team label or grad-year group, or your whole organization in a single send. Athletes are notified by email and can reply to you inside GetTheShip.
Can other coaches or staff manage the organization with me?
Yes. The owner can invite other staff as members of the organization, and members can see the roster, athlete activity, and messages.
What happens when an athlete leaves or is removed?
They come off your roster and you lose access to their information. The athlete keeps their own account and everything in it. Any Pro access that your plan was providing ends, but an athlete who pays for their own Pro plan keeps it. Athletes can only be on one organization's roster at a time.
What if I cancel, or move to a smaller plan?
If you cancel, the Pro access your plan provided to athletes ends, while their accounts and data stay with them. Athletes on their own paid Pro plan are not affected. If you move to a plan with a smaller roster than you currently have, you get a 14-day grace period and an email warning to trim your roster. After that, the most recently added athletes are removed until you're within your limit.
How do I change or cancel my plan?
Open your organization's billing page after you sign in to change tiers, update your card, or cancel. Billing is handled by Stripe, so we never see or store your card details. Questions? Email [email protected].
